how to restore a previous version of a document on mac
to restore a previous version of a document on mac, choose file > revert to > browse all versions with the document open, pick a version on the timeline, then click restore. apple says many apps save versions on their own as you work, so there is often an older copy to go back to without a backup.
this guide follows apple's mac user guide for macos 27, as of october 2026, read on october 29, 2026.

how do versions work on a mac?
apple's versions guide says many apps save versions of a document on their own while you work on it. a version is saved every hour, or more often when you are making many changes. apple adds that opening, saving, duplicating, locking, renaming or reverting a document also saves a version.
which tool to use depends on what you need:
| what you want | where to go | what apple says it does |
|---|---|---|
| an older version, replacing the current one | file > revert to > browse all versions, then restore | restores your document to that version |
| an older version, keeping the current one | browse all versions, hold option, then restore a copy | duplicates that version in a new document |
| the version from when you opened it | file > revert to > last opened | reverts to the last opened version |
| an older copy from a backup | time machine | gets back lost items or older versions of files, if you back up with it |
how do you browse and restore versions?
open the document, then follow apple's steps:
- choose file > revert to > browse all versions.
- click tick marks along the timeline to browse versions.
- display the version you want, then click restore.
the same screen has other options. to keep your current document and also get the old one, press and hold option, then click restore a copy. to remove a version, show the menu bar by moving the pointer to the top edge, then pick file > revert to > delete this version. to leave the document as it is, click done.
how do you go back to the last opened or last saved version?
use the revert to menu instead of the versions browser. with the document open, choose file > revert to, then pick last opened, last saved or previous save. in our read this is the quickest route when the change you regret happened today.
if you want to mark a point you may come back to, apple says choosing file > save explicitly saves a version. to save under a different name, location or format, hold option and choose file > save as.
what if the app does not save versions?
use time machine, if you back up with it. apple's time machine restore guide says you can recover older versions of files from your backups:
- open a window for the folder the document is in.
- open time machine with spotlight. apple says it is in the other folder.
- use the arrows and the timeline to move through your backups.
- select the document, then click restore. apple says restored items return to their original location.
apple adds that with many apps, file > revert to > browse all versions also shows previous versions held in time machine. if the file itself is gone rather than changed, see how to recover deleted files on mac.
how much time goes into searching for information?
a lot, according to microsoft's 2023 work trend index, published may 9, 2023. it surveyed 31,000 people in 31 markets, and 62% said they struggle with too much time spent searching for information. 86% wanted ai to help them find the information and answers they need. in our view, hunting for the wording a document had last week is one version of that search.
where does remynd fit?
remynd records your screen on a mac, runs ocr locally with apple vision, and keeps the searchable index on your mac. text comes from the focused window only, and video covers windows you have not excluded.
it does not restore documents or versions. what it can do is help you find what a document said at a moment you had it open.
press control space, search in plain language, refine by app, date or source, and jump to the moment the document was open, provided remynd was running then and the window was not excluded. private browser windows are excluded by default, and you can exclude apps and sites. it needs macos 14 or later on an apple silicon mac, and it is free to download.
in our view, it is a way to find a paragraph you rewrote, not a version history. for that, use versions or time machine. if you are not sure which app you saw something in, see find something you saw on your screen.
limits of this guide
- it follows apple's guides as published for current macos; menu names can differ on older versions.
- apple says many apps save versions, not all. we did not test which third-party apps support it, so we make no claim about any one app.
- time machine only helps if a backup ran while the version you want existed.
- it does not cover cloud editors, which keep their own history. google's docs help says you need edit permission to browse earlier versions of a file there, then click last edit at the top right.
download remynd for mac to search the text you had open, by app and date.
