spotlight not finding files on mac? how to fix it

when spotlight is not finding files on a mac, work through apple's checks: the search text, where you started the search, spotlight settings, archives, and whether indexing is still running. if one folder or disk stays stubborn, apple's fix is to rebuild the spotlight index for just that location through search privacy. as of october 2026, that is the route in apple's support pages.

download remynd for mac if what you need is something you saw on screen rather than a file you saved.

the steps below come from apple's mac user guide page on unexpected search results and its support article on spotlight indexing. we did not test them on every macos version.

what should you check first?

in our read, apple's checks line up with common symptoms like this.

symptomlikely cause (our mapping)what to try
a finder search misses a file on another drivefinder searches only the internal diskstart the search from spotlight
a whole type of result never appearsthat category is unselected in spotlight settingsselect it again
nothing from one folder appearsthe folder is on the search privacy listremove it from the list
results look incomplete soon after setup or an updateindexing may still be in progresslook for the progress indicator and wait
one folder stays wrong after all thata stubborn index problem in that folderrebuild that part of the index

start with these quick checks from apple's guides.

  1. check the spelling. apple suggests putting an exact phrase in quotation marks; without them, results can contain the words in any order.
  2. check where you searched. a search started in spotlight can include mail, calendar events and other apps. a search started in a finder window covers only files and folders on the internal disk, so, in our read, a file on an external drive may not show up there.
  3. check archives and backups. to find a file inside a disk image or zip file, apple says to open the archive and then search again. if you use time machine, apple says you can use spotlight with time machine to find files in backups.
  4. install updates. apple's support article, published august 25, 2026, lists installing the latest software updates first.

is something excluded in spotlight settings?

apple says you may have excluded items from spotlight searches, so check two places.

  • result categories. in system settings, click spotlight. per apple, categories whose checkboxes are unselected are left out of search results.
  • folders and disks. in the same pane, click search privacy. any folder or disk on that list is a location spotlight is prevented from searching, so remove anything you want found.
  • location services. apple also notes you may have turned off location services for siri suggestions.

in our view, check this list before you rebuild anything, because an excluded folder looks exactly like a broken index.

is spotlight still indexing?

spotlight indexing may still be running: spotlight works from an index, and apple says it builds that index when you first set up your mac, after a software update or upgrade, and as data changes.

apple says indexing can take hours or even days, depending on how much data you have, and that later updates are much faster. it finishes sooner when the mac is not in use, is connected to power, and is online over wi-fi or ethernet in case mail or other data needs downloading.

to check, press command space. apple says an indexing progress indicator appears at the top of the spotlight window while indexing runs. if you see it, wait before trying a fix.

how do you rebuild the spotlight index?

apple says rebuilding part of the index can help with stubborn problems affecting files in a disk or folder. its steps:

  1. choose apple menu, then system settings, then click spotlight (or siri and spotlight) in the sidebar.
  2. scroll down and click search privacy (or spotlight privacy).
  3. drag the disk, such as macintosh hd, or the folder you want indexed again into the list of locations spotlight is prevented from searching, or click the add button and select it.
  4. wait a few seconds, select the item you just added, and click the remove button.
  5. click done, then quit system settings. spotlight then reindexes that disk or folder.

if you get an "unknown" error or a permissions error when adding the item, apple says your user account might not have ownership permissions for some items in that disk or folder, and points to its guide on changing permissions.

in our view, start with the one folder that is failing rather than the whole disk, since apple says indexing time depends on how much data there is.

what will spotlight still not find?

spotlight's file search works from what is saved and indexed on your mac. apple describes the index as local and private, and says it covers files, folders and apps, plus content such as documents, mail, messages, contacts, photos and notes.

the gap matters because looking for things takes real time. in microsoft's may 9, 2023 work trend index, a survey of 31,000 full-time employed or self-employed workers across 31 markets, 62% of respondents said they struggle with spending too much of their workday searching for information, and 86% said they were looking for ai to help find the information and answers they need.

in our read, spotlight's file search can miss things you only saw, such as a web page you never saved, a message in a web app, or a slide shared on a call. we cover that gap in what spotlight search can't find, and for recent files specifically, see how to find recently opened files on a mac.

where does remynd fit?

remynd records your screen on a mac, runs ocr locally with apple vision, and keeps the searchable index on your mac. text is read from the focused window only, and video covers windows you have not excluded. you can exclude apps and sites, and private browser windows are excluded by default.

press control space to search in plain language, refine by app, date or source, and jump to an exact moment. remynd needs apple silicon and macos 14 or later, and it is free to download.

what are the limits of this guide?

  • it follows apple's pages as we read them on october 28, 2026. menu names can differ between macos versions, and apple's steps give both spotlight and siri and spotlight.
  • we left out terminal commands, because apple's pages above do not cover them.
  • it is mac only. on windows, microsoft documents search indexing in windows separately, and says the first indexing run can take up to a couple hours.
  • in our view, if a file was deleted rather than left unindexed, an index rebuild will not bring it back.

download remynd for mac and search what you saw, not just what you saved.
